Article Summary

A user must be created for each user of the Syniti Knowledge Platform. Once created, the user must also be given access to components via the assignment to user groups, which are then assigned to a role.

Create a User

Users can be created individually or in bulk. When creating users in bulk, only one file can be uploaded at a time. The upload file must be in the .CSV format with a maximum size of 6 MB. You can download the user group template file using the link in the Upload Users dialog box.

The initial upload of users performs an insert operation. Subsequent uploads assign the user(s) to the user group, but user names are not updated and new user groups are not created. New user groups must be created before uploading users into the user group.

Note

The upload of users and assignment to user groups is not immediate. You will be notified when the upload completes.

To create a new user:

  1. Verify you’re in the Admin module of the Syniti Knowledge Platform.
    Or
    Select Admin from the Profile menu to navigate to the Admin module of the Syniti Knowledge Platform.

  2. Click Users in the Admin menu.

  3. Click the Create user button.

  4. If you want to create users in bulk, click the Upload users button.

Edit a User

To edit a user:

  1. Verify you’re in the Admin module of the Syniti Knowledge Platform.
    Or
    Select Admin from the Profile menu to navigate to the Admin module of the Syniti Knowledge Platform.

  2. Click Users in the Admin menu.

  3. Click the Edit user icon.

Deactivate a User

If a user has left your company or has moved to a role where they no longer need access to the Syniti Knowledge Platform, deactivate their account. Once deactivated, the user cannot log into the Syniti Knowledge Platform, be assigned as an owner or subject matter expert on assets or be included in the review process; however, their account will still be available if it needs to be activated at a later date. Users whose accounts are reactivated have the same permissions as when their account was deactivated.

To deactivate a user:

  1. Verify you’re in the Admin module of the Syniti Knowledge Platform.
    Or
    Select Admin from the Profile menu to navigate to the Admin module of the Syniti Knowledge Platform.

  2. Click Users in the Admin menu.

  3. Click the Edit user icon.

  4. Toggle Active to Off.

  5. Click the Save button.
