Enhanced Search allows users to keep track of asset management. Using filters, users can refine their search by searching for specific delivered and custom categories or search on which assets need to be approved, are contested and have certain users assigned as owners.

Access the Search Results and Assets

To access the Search Results page for all assets, click the search icon on the search bar that is at the top of every page in Syniti Knowledge Platform.

To navigate to specific assets in Syniti Knowledge Platform, either click a Jump To... link or begin typing an asset Name or Description.

When you search for terms, rules, policies, datasets and business processes, the current version of that asset is returned. This version may be in review or published.

Note

Enter the phrase into the search bar before clicking the Search icon and selecting additional filters on the Search Results page. Entering a new phrase in the search bar and clicking the Search icon after you have selected filters resets the search and removes the selected filters.

Note

If you type a query into the search bar and there are no results for certain filters, those filters are hidden. The filters only hide for results based on an initial query and do not update as you select additional filters.

Categories

The Search Results page uses category value check boxes to filter search results. These filters that can help managers and employees keep track of assets and their owners, their review statuses, and their SMEs.

One or more filters may be selected once a search phrase is entered. Filters may be deselected by clicking the x icon next to the selected filter at the top of the Filtered By panel or by unchecking the check boxes next to the selected filters. If a filter displays, it is available to use, and the number of assets to which the filter is applicable displays next to the filter value. These numbers are updated with each filter selection.

The number of filtered results returned depends on whether you select filters from the same category or from multiple categories. A broader range of information displays if you select multiple filters in one category. In this case, all the results for each filter selected display. For example, selecting two users from the Owners category displays all results for each user assigned as an owner. Narrow the range of information returned by selecting filters from multiple categories. For example, if you select filters for Term, Review Status: Unpublished, and Owners: John Doe, the results only display terms that are in the Unpublished status and John Doe as the owner.

Note

Only category and category values relevant to the search results display as filters (i.e., facets).

The two types of categories are:

  • User-created—Once a user-created category is added on the Admin Categories page, that category is available for selection as a search filter on the Search Results page. Refer to Search User-Created Categories for more information.

  • Delivered—Important fields on asset detail pages are delivered as search facets on the Search Results page. Categories delivered with Syniti Knowledge Platform include:

  • Asset Types — If you run the initial query filtered with a specific asset type via the Jump To... links or the list box search filter, then additional asset types cannot be selected. If you begin with an unfiltered search, you can select multiple asset types and results for each asset type appear. Asset types include:

    • Terms—Results displayed are filtered by terms included in the business glossary.

    • Policies—Results displayed are filtered by policy.

    • Systems—Results displayed are filtered by system.

      Note

      Since systems do not have a review workflow, if you combine a Review Status filter or an SME filter with a system filter no search results display.

    • Rules—Results displayed are filtered by rule.

    • Initiatives—Results displayed are filtered by Company-level and Program-level initiatives.

    • Goals—Results displayed are filtered by Company-level and Program-level goals.

    • Datasets—Results displayed are filtered by dataset.

    • Business Processes—Results displayed are filtered by business process.

  • Owners—Users can assign non-Strategy assets (terms, policies, rules, systems and datasets) to users that have permission to access those assets. You can use this facet to search for assets that have one, multiple or no users assigned as owners yet.

  • Review Status—Results displayed are filtered by the Review Status.

    • Unpublished—One or more versions of the asset have been created and none of the asset versions have been sent for review.

    • Unpublished (In Review)—Asset is being reviewed by reviewers defined in the review workflow.

    • Unpublished (New Version Created)—Asset has been updated during an active review workflow and has not been added to the review.

    • Unpublished (Review Contested)—A reviewer has contested the asset review. The asset is not published.

    • Unpublished (Review Canceled)—The review process for the asset has been canceled. The asset is not published.

    • Published—Threshold met; >50% of reviewers have approved and no reviewers have contested the review.

  • Stakeholders/Subject Matter Experts—Results displayed are filtered by the name of the SMEs. As with Owners, users can filter for one or multiple SMEs or find all assets with no SMEs assigned.

Use Bulk Edit to Apply Edits to Multiple Assets

With Bulk Edit, you can filter a list of assets on the Search Results page to be updated with values that you select including:

  • Owner

  • SMEs/Stakeholders

  • Categories and values

Search User-Created Categories

Categories and their associated values are searchable. To search for all assets grouped by a category or its specific category values, enter the name of the category or values in the search bar. The search results will populate with the assets that have had that category or value applied.

Users with administrator permission can designate categories on the Admin Categories section to display as filter check boxes on the Search Results page.

Note

Changes made to category or category value names can take up to 30 seconds to display correctly in the search results for related assets.
