Email Templates

Email templates provide a way for you to customize email notifications sent to specific users when an event is triggered so that the notification aligns with your business needs and company branding. Events that trigger notification emails include (but are not limited to) asset reviews, deletion of assets, bulk import statuses, Data Quality reports, workflow statuses, and Data Quality score changes.

You can view all available templates from the Email Templates page. This includes basic details for each template, including the event the template is assigned to, description, and active status. To view more details on the email template, click the link in the Event column.

Email templates can be created using the Create email template button on this page. Additionally, you can use the Edit and Delete icons in the Actions column to edit or delete email templates.

Note

Deleting an email template removes the custom template. Future notifications for the associated event will use the default email template.

Create an Email Template

To create an email template:

  1. Verify you’re in the Admin module of the Syniti Knowledge Platform.
    Or
    Select Admin from the Profile menu to navigate to the Admin module of the Syniti Knowledge Platform.

  2. Click Email Templates Admin.

  3. Click the Create email templates button.

  4. On the Create Email Templates page, select the event that will trigger the email from the Event Type. Once selected, additional template settings are displayed.

    Note

    Only events for which a custom email template has not been created are displayed in the Event Type list box.

  5. Enter a Description for the template to provide additional identifying details about the template.

  6. Turn the Active toggle to the On position if the email template should be used when the event occurs. Otherwise, the default notification provided by Syniti will be used.

  7. Select users who will be carbon copied in all notifications using this template from the CC list box.

    Note

    The From and To fields are read-only. Notifications will be sent from donotreply@syniti.com and to the selected Owner and SMEs for the event asset.

  8. Variables When the notification is sent, the variables will be replaced with the values contained in the event.

  9. Enter the subject line for the notification in the Subject field, using variables as necessary. A default subject line initially displays here and can be edited as necessary.

  10. Enter the message for the notification in the Body field, using variables as necessary. A default message displays here and can be edited as necessary.

  11. Click Save to save the email template.

You can test the email template after saving the template. Refer to Email Template Overview below for more details.

Email Template Overview

Once an email template is saved, you will be directed to the Email Template Overview page. Alternatively, you can navigate to this page by clicking on the link in the Event column of the desired email template from the Email Templates page.

You can view all the details for the email template from this page. If edits to the email template are necessary, choose Edit from the More options menu.

To preview this email template, click the Send test email button at the bottom of this page. An example email will be sent to the email address applied to your user account.

Edit an Email Template

  1. Verify you’re in the Admin module of the Syniti Knowledge Platform.
    Or
    Select Admin from the Profile menu to navigate to the Admin module of the Syniti Knowledge Platform.

  2. Click Email Templates in the Business Settings section of the Admin menu.

  3. Click the Edit icon on the appropriate email template.
    Or
    Click the link in the Event column to navigate to the Email Template Overview page, then choose Edit from the More options menu.

  4. Make any necessary changes to any editable fields.

    Note

    The Event Type cannot be edited.

  5. Optionally, click the Send test email button. An example email will be sent to the email address applied to your user account.

  6. Click the Save button to save your changes.

Delete an Email Template

Note

Deleting an email template removes the custom template. Future notifications for the associated event will use the default email template.

  1. Verify you’re in the Admin module of the Syniti Knowledge Platform.
    Or
    Select Admin from the Profile menu to navigate to the Admin module of the Syniti Knowledge Platform.

  2. Click Email Templates in the Admin menu.

  3. Click the Delete icon on the appropriate email template.

  4. Click the Confirm button on the Delete Email Template dialog to proceed with deleting the template.
