Bulk Edit of Data Elements

Article Summary

Bulk Edit is a feature within Data Elements tab of the Dataset that provides the user with maintenance access to all of the fields of the Dataset on one page. One row or many rows many be updated for a column in one change making this option a time saving effort.

The Bulk Edit  button is visible in the upper right side corner of the Data Elements tab of the Dataset.

Click the Bulk Edit button to display a bulk edit page where the high impact fields are accessible as shown in the image below.

The fields showing a drop-down  arrow provides lists of data to select from. The toggles may be actively switched on and off, and any field that is not Display only is accessible for changes. The Text fields require a double-click to open for changes.

Each row may be adjusted and updated for changes, and the Edit tag  icon to the left of each row to display. Alternately, the user may manually select the row by a click check box flag  icon to mark the row as active. The rows that contain active check marks allow for updates of multiple cells with same value.

In this example, select multiple rows by a click check box flag  for each row. The user may also click check box flag  in the header to select ALL rows.

Note

The Attributes and Stakeholders have configuration that display their values in the grid for Bulk Edit and the Data Elements tab. It only displays if the Attribute or Stakeholder is a unique value. See section Administer > Advanced > Attributes or Administer > Advanced > Stakeholders for details of setup for displaying values on the grid.

Once the data is complete, the user may click on the SAVE  button to save all rows showing the Edit tag icon. The system responds with a message that the data saved successfully.

Alternately, the user may want to reset the values entered for every row containing a Edit tag, and they may click on the RESET  button to set the fields back to original values. There is no warning, and all records that have been altered since the last save are reverted back to original data.

Once all work in the Bulk Edit page is completed, the user should Back Arrow  out to the Dataset page where the changes are reflected in the Data Elements tab.

Multiple Row Bulk Edit Updates

While viewing the Data Elements tab in the Bulk Edit mode, the user may want to update multiple rows for a field. Click the left corner Check Mark to select all rows (Similar to click corner in Excel).

At this point, Click the down arrow for the Column to change to select option Bulk Update Column.

This action opens a window for that column to enter a drop down value for the column and then click on the Save  icon.

Note

Bulk select from drop down is only applicable for Filed Type, Business Impact, Usage Level , Data Owner for now.

The data for the selected row is updated for the new value. There is an icon (a ticket) to show that these rows have been updated. To complete the change, click on the SAVE button in the header OR click the RESET  button to undo the changes to last save.
